Real-time Editorial Request tracking with a Kanban board & AI agents

The client wanted a board where they could manage editorial requests in one place. A user submits an article, the editorial team reviews it before it goes live on their partnered newspaper website.

They change the status of the request — letting the user know in real time exactly where their submission stands. The module runs as a kanban board tied to an "Editorial Status" attribute with eight stages (Draft → Submitted → Under Review → Revisions Required → Approved → Sent for Publication → Published, plus Not Selected).

Editors drag each card to the next stage, and an AI agent automatically notifies the submitter every time the status changes.

1. Create the module.

Add a new custom module ("Editorial Requests"). There's no separate form to link, the module's own entry-creation flow acts as the submission form, so define the fields you need as the entry's attributes/sections (title, description).

2. Build the "status" attribute

Create a section restricted for Admin use only, create a single-choice attribute ("Editorial Status") Draft, Submitted, Under Review, Revisions Required, Approved, Sent for Publication, Not Selected, Published. This one attribute is the engine for the whole board.

3. Set kanban as the default (and only) view.

Configure the module so the kanban view is the default. Keeping it kanban-only keeps everyone focused on the pipeline rather than a flat list. Point the kanban's column attribute at "Editorial Status."

4. Lock board editing to the editorial role

Restrict who can move cards (kanban allowed roles) to the editor role only. Submitters can create and view entries, but only Admins change the stage

5. Add a submission confirmation

Enable a "Thank You for Your Submission" success page so members get immediate reassurance that their request was received and will be reviewed.

6. Set up the AI status agent

Create an AI agent directly on the platform: go to Admin > Tools > AI Agent > Add, then configure the step to “attribute update” and action to “send a message or email”. configure the email accordingly.

7. Test the full loop.

Submit a test entry, drag it through each stage as the editor, and confirm the submitter receives the right notification at every move. Then hand the board to the editorial team.
